Refunds and cancellations

Scope

This policy applies to paid engagements with Intel Studio: full compliance reporting application audits, pre-audit readiness reviews, remediation verification, and reporting control walkthroughs. The website itself sells no goods and processes no online payments.

Deposit and fee structure

Full audits typically require a 30% deposit to reserve the fieldwork window. Readiness reviews and walkthroughs may require payment in advance or a smaller booking deposit stated in the proposal. Day-rate remediation work is invoiced after days are delivered unless the proposal says otherwise.

Cancellation by the client

• More than 14 days before the agreed start date — deposit refunded minus a ¥40,000 scheduling fee, or the full deposit if no non-refundable travel was booked
• 8–14 days before start — 50% of the deposit is refundable
• 7 days or fewer before start — deposit is non-refundable
• After fieldwork begins — fees for work already performed are due; unused prepaid amounts for undelivered days may be partially refunded at our discretion after costs

Rescheduling

One reschedule with at least 14 days’ notice is accepted without penalty, subject to practitioner availability and your filing calendar. Further reschedules may incur a ¥40,000 administrative fee or require a new proposal.

No-shows

If key owners fail to attend scheduled walkthroughs or kickoff without 24 hours’ notice, the session is charged as delivered. We will offer one replacement slot within 30 days when calendars allow.

Work already started

Once access is granted and fieldwork sampling has begun, completed stages are non-refundable. Partial refunds, if any, apply only to clearly unused future stages listed in the statement of work.

Purchased materials and third-party costs

Pre-approved travel, translation, or room hire ordered for your engagement are non-refundable once incurred. We seek your approval before booking such costs.

• Completed practitioner days
• Finalised memoranda and readiness notes already delivered
• Third-party costs already incurred with your approval

Refund method and timing

Approved refunds are returned via the original bank transfer route within 21 business days after written approval. We do not offer cash refunds at the office.

How to request a refund or cancellation

Email hello@intelstudio.digital with your proposal reference, organisation name, and reason. Include +81 3-3344-5600 contact preference if you need a call. We confirm receipt within two business days.

Exceptions

If Intel Studio cancels for reasons other than client breach or force majeure, you receive a full refund of amounts paid for undelivered work, or a mutually agreed new date without penalty.
